Although we require a colored swatch of your wedding colors, color matching to a swatch or ribbon, etc. may not necessarily match exactly due to the under tones of colors. Every attempt will be made to match the color of your choice. Wedding Cakes by Design, LLC is NOT liable should the colors not exactly match. It is suggested, if you want the flowers to match the wedding party, it is respectfully suggested that you get extra flowers for what you want on your cake from the same supplier of your flowers. We, however, will gladly place them on your cake as designed.
Plain and simple, Wedding Cakes by Design, LLC does NOT cut the cake or serve it during your event. You will need to assign this to a friend or family member, co-worker, etc. They generally will be excited to assist you with this task. And they will not charge you to do this. Wedding Cakes by Design’s, LLC contracted services to you ends after we deliver and set up your cake in satisfactory condition (or it is picked up by you or your authorized person from our bakery located in the Wisconsin Dells).
The industry standard for event cake slices is measured as 1”x 2”. (1” inch wide x 2 inches long). In your folder you have a picture of how to properly cut your cake. Please show this picture to whoever is assigned to cut the cake, so you do not run out of cake.
Cake shortage can be due to cutting the cake slices larger than 1”x 2” or because more guests are at the event than planned for. Wedding Cakes by Design, LLC is not liable for the cake shortage. The number of actual servings created during actual service of the cake cannot be guaranteed as methods of slicing cake servings are larger than the industry standard listed above.
This can be for several reasons. Not all your guests may have wanted cake, or the guest count was too low. Any leftover cake is great to have for any gatherings that evening or for the next day or two. Leftover cake can also be placed in single serving cake favor boxes. Many guests love to be able to take a slice of cake home with them. You are responsible for providing these little boxes. Leftover cake is also great to serve your guests when you open your gifts.
The following may be on site in our bakery:
While every precaution will be taken in the case of a known allergen, it remains the full responsibility of the you the customer to inform your guests.
Yes, there is. You, the customer, assumes full responsibility for making sure all nonedible items in or on the cake are removed before cutting and serving the cake. To support your cake, there are dowels in the cake. These must be removed before serving the cake to your guests. Decor that is nonedible can be, but is not limited to, any flowers, such as sugar flowers, wafer paper flowers, buttercream flowers, chocolate flowers, fresh flowers, or silk flowers. These are nonedible as they may contain plastic flower stamens, or a wire for added strength and flexibility to achieve a more natural look. DO NOT EAT ANY OTHER nonedible decor, such as but not limited to, pearls, brooches, crowns, jewelry, feathers, etc. If you are unsure if an item is edible or not, DO NOT eat it. Do not give trinkets or décor of any kind to children of any age.
Yes. If you’d like, we can make you a flower topper for your cake. If you plan to place a heavy item on your cake, you will need to inform us so we can prepare for it with added structural strength. However, some items can still be too heavy to place on your cake, even if there is extra support. When we do the set-up, we will attempt to place your item on your cake. If we feel it is too heavy and will do damage to your cake, we will not put it on your cake. We will place it next to your cake. Wedding Cakes by Design, LLC is not liable for any damage to the cake by placing your heavy item on the cake. If your cake topper or other items become broken, Wedding Cakes by Design, LLC will not be held liable. Every care is taken not to cause any damage to any of your items.
If you’d like to preserve the top tier of your cake for another day, it can be preserved in your freezer. How to preserve your cake for a year: Freeze the cake by itself for about an hour. Then wrap it twice with saran wrap (plastic wrap) to keep the air out. Place the cake in a cardboard box and seal the cardboard box. Then, wrap the cardboard box in saran wrap (plastic wrap), twice. This seals out air from getting into your cardboard box. The air will give you freezer burn or a bad taste to your top tier or leftover cake. Store in the freezer until needed. To defrost the cake, unwrap your cake as soon as you can without damaging the décor. Then, place it back in the cardboard box and seal it. It is best to place the sealed cardboard box in the refrigerator overnight. Bring the cake box out of the refrigerator and place the unopened cardboard box on the counter 30 – 60 minutes before you’d like to serve it. Note: Placing the cake in a cardboard box helps to prevent condensation on your cake. Enjoy.
Wedding Cakes by Design, LLC is more than happy to decorate your customized cake with fresh flowers and foliage. Your florist must have the flowers delivered to the venue prior to our two (2) hour setup time. They need to be placed on the sturdy (doesn’t rock either), decorated, and level cake table, so we know which flowers we are to use. We will not accept any other flowers such as, the bridal or bridesmaids’ bouquets, boutonnieres, corsages, church or venue flowers, etc. If the flowers have not arrived by the time the cake is delivered and set up, we will begin calling people on your contact list starting with the florist. We will wait one (1) to two (2) hours for your flowers at a fee of $75 per hour. This fee is due immediately whether the florist shows up or not. If fresh flowers are to be used on your cake, you must let your florist know the flowers are going on an edible cake as there are many beautiful toxic or poisonous flowers easily available. Wedding Cakes by Design, LLC is not a florist. The florist will know what is and isn’t safe. We will not take responsibility of making the flower choice decisions. Please do not provide flowers from any grocery store, Sam’s Club, Costco, Walmart, Kwik Trip, Walgreens (or similar places). These flowers are not edible as they easily have chemicals on them. Chemically treated flowers or toxic flowers will make your guest ill. If the flowers are from a florist, we will place your flowers on the cake as per the drawing or photograph. Under no circumstances, the florist nor any other person other than Wedding Cakes by Design, LLC is allowed to place the flowers on the cake as per our drawing. Please inform your florist, family members, co-workers or friends we will handle this.
You the customer acknowledges that fresh flowers are not a food product, and they may contain pesticides, insects, or other contaminants, and that some flowers and foliage are in fact toxic. If your cake has a fresh flower topper or sprays on it, your florist is responsible for making these and leaving them on your cake table for us to place on your cake. Wedding Cakes by Design’s, LLC cake artist will make gum paste flowers, chocolate flowers, buttercream flowers, or wafer paper flowers and place them on your cake. If you want silk flowers on your cake, we will purchase your silk flowers (you will provide us with $100 for the flowers and you will reimburse us the cost of the flowers if the cost is more than $100), plus $50 for up to three (3) hours searching for the best available silk flowers, plus $40 per hour after that for our time should we have to search longer for the prefer flowers for your cake. The $150 is to be prepaid before we go in search of the perfect silk flowers for you. We will generally not use silk flowers from the customer as many people tend to buy cheap plastic ones, thus making your cake look unpleasant and making your photos look cheap and undesirable. Note: Additionally, you will be responsible for providing directions to your florist to the venue and the date and time the flowers need to be delivered. This is not our responsibility. Your florist will want to know the tier measurements and what the cake is going to look like. Please provide a copy of this information to them. Wedding Cakes by Design, LLC is not liable for the delivered appearance or damage to your flowers provided by your florist.
Yes, we may have an item you wish to borrow on hand or are able to obtain said item for you. Borrowing an item from us is called a rental. Some items that we cannot rent out are our cake dummies, cake toppers or ornaments, candles, flowers, fabric, etc. If your cake requires columns, stands, fountains, support systems, or other specialized equipment, a deposit equal to the total replacement cost of the equipment will be collected upon rental of item(s). The deposit will be held until all equipment is returned in the original condition given to you NO later than the 24 hours after your event. All equipment must be returned in person and NOT mailed, shipped, or “dropped off”. Failure to return the equipment after the event will result in forfeiture of the deposit even if the equipment is eventually returned. Wedding Cakes by Design, LLC shall have the final decision on the condition of the returned items. If there are any chips, scratches, cracks or any missing items, etc. the item(s) replacement cost will be deducted from your deposit. The rental cost for each item is 20% of its replacement cost plus 3% for sterilization of each item rented (not per column), after the item(s) are returned for a total of 23%. A $25 late fee will be assigned for each day rentals are not returned as promised, until we reach your deposit. Should we have to replace an item due to it not being returned or returned broken or damaged, you will be charged the actual cost of the item along with sales taxes, shipping and handling, or other charges, plus a $25 administrative fee. If items are not returned clean, you will be assessed a $75 cleaning fee. We give it to you clean and expect you to return it clean and in the same manner you had received it.
Yes. Sometimes a bride would like a large cake but will not have enough guests to eat it we can place faux cakes (dummy cakes) with her tiered cakes to get the height she desires. Dummy cakes will appear to look the same as real cakes.
The cake table should already be set up and have its tablecloth in position and fully decorated (table skirt, flowers, lights, etc.) before delivery of your cake (be sure the tablecloth is ironed). We are not decorators and will not decorate the cake table or around the cake table. The table itself needs to be placed where it is going to stay until after the cake cutting ceremony. Wedding Cakes by Design’s, LLC staff will not move it unless it is sitting in the middle of the room where people walking around can bump the table and damage your cake or it is placed directly in front of a window where the sun’s rays can melt your cake. It is your responsibility that the table be level, strong, sturdy, and has a flat display surface capable of holding the weight of the cake without wobbling, leaning or tilting, collapsing, and does not rock, (tiered cakes can weigh over 150 pounds, depending on the number of tiers). The cake table should not be displayed in an area that is subject to vibrations, regardless of source, including but not limited to being near the dance floor, DJ, near loudspeakers, near high traffic walk areas, or under hot lights. We suggest for the safety of your cake that the table be placed against a wall or the side of the tent. It should NOT be placed in front of a window or in the sun or the sun's path for the day. The sun will damage and melt your cake, even in the winter months. Wedding Cakes by Design, LLC is NOT liable for any damage to your cake after it is set up. Note: Cool or winter months can still cause damage to your cake from heat. With this in mind, do not place your cake over, under, or near a heat register, near portable heaters, massive lighting systems, large display of candles, etc. It is best to have the heat turned off until after the cake cutting and photographs have been taken. Once the cake has been set in place the cake or the table must NOT be moved until after the cake cutting ceremony and pictures are taken. Wedding Cakes by Design, LLC will come two (2) to three (3) hours before the start of your event. Cake must be placed in a cool to cold area of the venue.

Yes. After the cake is set up, the cake release form called The Verification of Acceptance Disclaimer must be signed acknowledging that the cake has been delivered and set up in satisfactory condition. This form may be signed by anyone. Furthermore, Wedding Cakes by Design, LLC will take a photograph of the cake after it is set up to show it was delivered as specified and was in satisfactory condition upon delivery. This photograph will constitute legal proof of Wedding Cakes by Design, LLC having fulfilled its contractual obligations with respect to design, construction, and delivery of the cake. Your cake should be placed in the refrigerator if it sits out for longer than 60 minutes as the frosting may start to melt and possibly fall off the cake.
We will require access to your venue at least two (2) hours or more (depending on the style of your cake, it may be longer) before your event's start time. It is the you the customer’s responsibility to make sure the building air conditioner is programed on high for at least sixty (60) minutes prior to our arrival to cool down the area where your cake will be displayed. Heat or a warm room is guaranteed to cause damage to your cake and Wedding Cakes by Design, LLC is NOT liable if the room is not cool. If the heat is on, ask the venue to turn it off until after your cake cutting ceremony and pictures. Should no one be there to unlock the doors to let us in, we will wait NO LONGER than one (1) or two (2) hours, depending on our schedule. For these hours we must keep the car running with the air conditioner on high. A service fee of $75 per hour will be expected before we hand over your cake. After two (2) hours, we and your cake are heading back to our bakery in Wisconsin Dells. Before we do this, we will attempt to contact the venue, you, and everyone else in your contract. We DO NOT want to leave with your cake. If we leave and must come back, the charge is steep at $150 service fee plus $75 per hour with a two (2) hour minimum. This $300 must be paid before the cake is delivered and in cash or Venmo. Please make sure someone is there to let us in the venue.
No. You the customer must provide us with clear written directions to the venue from our bakery in the Wisconsin Dells. Customer will inform Wedding Cakes by Design, LLC of any adverse conditions, and obstacles that may hinder the delivery and affect the quality of the finished cake. Such obstacles may be rough road conditions (bumpy roads, gravel roads, dirt or grass roads, construction, potholes, normal heavy traffic, etc.), heavy foot traffic of people for parades, 5k runs, protesting, etc. These events need to be listed in the instructions as well. These issues will affect the delivery and the quality of your cake. Wedding Cakes by Design, LLC will not be liable if we are late due to your instructions or for any cake damage. We do not use a GPS. We have found it to be to be unreliable on several deliveries. Please tell us where to park our car for your delivery at the venue. If you or you elect a representative to pick up and set up the cake, you assume full liability and responsibility for the condition of the cake once the cake leaves our possession. For picking up the cake, please sign the Cake Pick-Up form.
Wedding Cakes by Design, LLC is NOT liable for any damage to your cake during setup and/or after setting up the cake if a venue staff member, waitstaff member, the caterer’s staff, videographer, photographer, any performance personnel, DJ, band, or any musical groups, an animal, a guest of the event, family or friends, or children, or any other person not employed by Wedding Cakes by Design, LLC etc. cause the damage. Damage also includes but not limited to, touching, poking, dragging finger in the buttercream, etc. It is the customer’s responsibility to provide a clear environment and to be sure the walkways are clear of chairs, ladders, people, animals, children and/or their toys, etc. so our staff do not trip and fall over them and then drop your cake. The customer (You) assumes full responsibility for the cake once set up at the venue. Customer agrees to indemnify and hold Wedding Cakes by Design, LLC harmless from and against all bodily injury, property damage, or consequential damages. Should we have to return to repair damage to your cake after we have set it up and left, there is a return service fee of $150, plus mileage at .65 per mile, and $75 per hour (after the first hour). If the problem is from melting, there will be NO refund. The cake should have remained in the refrigerator until serving. NO refunds will be given for cakes picked up and transferred by the customer or their assigned delivery person. This is because we do not know how the cake was treated during the transfer to your venue.
